Part-time Executive Assistant – London, UK

Due to growth and expansion, our client is seeking a part-time Executive Assistant. This is a remote position approximately 20 hours per week. They specialize in print and production products, delivering high-quality solutions to clients across various sectors. Our ideal candidate is proactive and detail-driven to support the Director of Operations in managing daily operations and strategic initiatives.

Role Overview

The Executive Assistant will provide administrative support, helping streamline internal processes, manage communications, and coordinate key production and client-related tasks. This is an ideal opportunity for someone who understands the pace and demands of the print/production world and values flexibility in their work schedule.

Key Responsibilities

  • Manage and maintain schedules, including internal meetings, supplier calls, and vendor/client check-ins.
  • Track project timelines and production schedules, ensuring deadlines are met.
  • Organize virtual meetings and follow up on action points.
  • Prepare proposals, quotes, and client-facing documents with accuracy.
  • Handle email communications, including client queries and supplier coordination.
  • Assist in sourcing materials, liaising with vendors, and maintaining production order tracking.
  • Support invoicing, expense tracking, and basic bookkeeping tasks.
  • Maintain confidentiality and professionalism in all communications and documentation.

 Requirements

  • Proven experience in a fast-paced environment as an Executive Assistant, ideally in a production, print, or manufacturing environment.
  • Strong organizational and multitasking skills.
  • Excellent communication, both written and verbal.
  • Proficient in Microsoft Office and Google Workspace, and Odoo. Familiarity with production management software is a plus.
  • Comfortable working remotely and independently.
  • Based in London, UK, with flexibility to attend occasional in-person meetings or events.

Desirable Skills

  • Knowledge of the print and production lifecycle (design to delivery).
  • Familiarity with tools like Trello, Monday.com, or industry-specific ERP systems.
  • Previous experience managing supplier relationships or logistics coordination.
