AP/AR Finance Manager

Position Summary:
Reporting to the Controller, the Accounts Receivable/Payable Finance Manager is responsible for leading a team, and overseeing the company’s financial records, ensuring the timely collection of outstanding payments, and maintaining relationships with clients. This role involves leadership as well as oversight in the preparation and sending of invoices, reconciling accounts, handling payment discrepancies, and providing excellent customer service to internal and external stakeholders. The role plays a critical role in maintaining accurate financial records and ensuring the company’s cash flow remains healthy.

Key Responsibilities:
• Invoice Preparation & Management: Generate, prepare, and send accurate invoices to clients in a timely manner.
• Payment Processing: Record and process incoming payments through various methods such as checks, electronic transfers, and credit cards.
• Collections: Proactively follow up with clients on overdue accounts via phone, email, and other communication channels to ensure timely payment.
• Account Reconciliation: Reconcile customer accounts, resolving any discrepancies between payments received and outstanding balances.
• Dispute Resolution: Investigate and resolve any billing issues or payment disputes with customers, ensuring all discrepancies are handled professionally and promptly.
• Customer Communication: Maintain clear and effective communication with clients regarding their accounts, including reminders about payment terms and providing account status updates.
• Reporting: Prepare regular accounts receivable reports, including aging reports and analysis of outstanding balances, and present these to management.
• Collaboration: Work closely with the sales and customer service teams to address billing concerns, adjustments, or corrections in a collaborative manner.
• Compliance: Ensure adherence to company policies and procedures, as well as regulatory requirements in handling sensitive financial data.
• Record Maintenance: Keep accurate and organized records of all financial transactions related to accounts receivable, ensuring up-to-date documentation for audits and reporting.

Qualifications:
• Bachelor’s degree in accounting, Finance, or a related field.
• Proven experience in accounts receivable, billing, or collections.
• Strong understanding of accounting principles and practices.
• Proficiency in accounting software (e.g., QuickBooks, SAP, or Oracle) and Microsoft Excel.
• Excellent communication skills, both written and verbal.
• Strong attention to detail and ability to manage multiple tasks and deadlines.
• Ability to handle confidential information with integrity and professionalism.

Compensation: $70k-$85k DOE, full benefits, 401K, PTO.
